Publisher Cataloging in Publication (PCIP)

What is CIP?

  • Cataloging In Publication (CIP) was established by the Library of Congress to enhance the services of publishers and librarians by providing timely bibliographic descriptions of published materials.
  • CIP is a block of data located in the front of a book that describes its various attributes.
  • CIP uses a set vocabulary and structure within which a book is described.

    There are two sources of CIP:

    Library of Congress Cataloging In Publication
    The Library of Congress provides cataloging in response to publisher requests. As a result of the enormous volume of requests submitted to The Library of Congress as well as limits set by the Library, some publishers experience substantial delays in receiving CIP data.

    Publisher Cataloging in Publication
    PCIP Data is prepared by a trained cataloger at the request of a publisher.

    Why is CIP important?

  • CIP is one of the first things a catalog librarian looks for in any book.
  • CIP eases the burden on librarians who eliminate duplication of effort by utilizing the cataloging information in the data block.
  • CIP gives librarians all the information they need quickly to add a record for the book to their database or card catalog. This means improved service to library users (and happy librarians).

    Facts about PCIP

    CIP block creation should only be done by a professionally trained cataloger who understands the required format and controlled vocabulary used by librarians.

    CIP block contains certain specific data elements such as:

  • ISBN
  • Library of Congress subject terms (which allow a book to be searched and linked by common descriptive terms)
  • Library of Congress authorized name terms
  • Dewey Decimal and Library of Congress classification numbers
  • Formatted description of the book (author, title, edition, etc.)


    Guidelines for Using PCIP

    CIP block should be entered into the book using the same type face as the rest of the book, without changing any aspect of the data (i.e.,spacing, indentation, spelling, capitalization, etc.).

    Once the CIP block has been created by a professional cataloger, the publisher must not alter or recreate the cataloging information unless the catalogers name (Donohue Group, Inc.) is removed from the CIP heading. In other words, if the CIP data is changed in any way, the cataloger is no longer responsible for the accuracy of the record.

    (what is needed to produce PCIP)

    Draft (manuscript) of book or a facsimile of the title page, verso, and other aspects of the work (i.e. index, illustrations, bibliographical references, etc.).

    DGI Process for PCIP

  • Catalogers examine the entire work (if supplied) in order to provide a physical and intellectual description.
  • CIP blocks are prepared following standard library cataloging rules in the Anglo-American Cataloging Rules, 2nd Edition, Revised (AACR2R).
  • Name, subject and series title terms are checked against the Library of Congress authority files in order to verify the authorized form. Using the authorized form of the term allows all works by an individual to be retrieved with a single database search.

    Name Verification

    DGI staff members are certified by the Library of Congress to establish the authorized form of name, if none exists, for those who are responsible for any aspect of the publication. These names are established in the Library of Congress database. Publishers may be asked to supply the full name and birth/death dates.
